A virtual assistant is a remote professional who helps businesses, entrepreneurs, and teams with administrative, operational, customer-service, research, and digital tasks.
Virtual assistants can work independently, through freelance marketplaces, for agencies, or directly with long-term clients. The role can range from basic data entry and scheduling to CRM management, customer support, project coordination, content operations, and executive assistance.
Item | Details |
|---|---|
Business model | Freelancing, contract work, retainers |
Typical customers | Entrepreneurs, agencies, small businesses, executives, online businesses |
Common work | Email, scheduling, research, data entry, customer support, CRM, admin |
Coding required | No |
Common tools | Gmail, Google Calendar, Google Drive, Notion, Slack, CRM software |
Upwork median rate | About $10–$20/hour |
Administrative VA example | About $12–$20+/hour |
Marketing / customer-support VA example | About $20–$35+/hour |
Advanced / executive VA example | About $38–$50+/hour |
Fiverr 2026 hourly range | About $47–$60/hour for typical marketplace services |
Fixed-price work | Common for clearly defined tasks |
Difficulty | Beginner to advanced |
A virtual assistant can handle tasks that do not require the client to perform them personally.
Common responsibilities include:
Managing email
Scheduling meetings
Updating calendars
Research
Data entry
Spreadsheet work
Customer support
CRM updates
Document formatting
File organization
Travel research
Appointment booking
Social media scheduling
Content uploads
Lead research
Invoice follow-up
Preparing reports
Project coordination
The role varies widely depending on the client.
A virtual assistant supporting one founder may manage email and calendar.
Another may specialize in customer support, e-commerce operations, marketing, or CRM administration.
Common tasks include:
Email management
Calendar management
Scheduling
Data entry
File organization
Research
Document formatting
Spreadsheet updates
This is one of the easiest entry points because it generally does not require highly specialized software knowledge.
An executive assistant handles higher-responsibility tasks for founders, executives, or managers.
Possible responsibilities include:
Calendar prioritization
Meeting coordination
Travel planning
Preparing meeting materials
Following up with stakeholders
Managing confidential information
Project coordination
Higher responsibility and trust can justify higher rates.
Tasks may include:
Answering customer emails
Live chat
Order questions
Refund requests
Ticket management
Updating customer records
This work often requires familiarity with:
Help desk software
E-commerce platforms
Virtual assistants typically charge hourly, by project, or through recurring monthly retainers.
Upwork currently lists a median virtual-assistant rate of approximately $10–$20 per hour.
Its current guidance provides examples such as:
Type | Example rate |
|---|---|
Administrative / data-entry VA | $12–$20+/hour |
Marketing / customer support / accounting support | $20–$35+/hour |
Advanced VA / consultant / executive assistant | $38–$50+/hour |
The higher categories may include skills such as:
CRM management
WordPress
Marketing
Accounting support
Project management
Content management
Technical administration
These figures reflect marketplace hiring rates rather than guaranteed income.
Fiverr's August 2026 cost guide states that typical virtual-assistant services on its marketplace cost around $28–$91 for fixed-price projects, while hourly rates commonly range from $47–$60 in its analyzed services.
Individual service categories vary.
Current examples include approximately:
Service |
|---|
Hourly pricing is useful when:
Tasks change frequently
Work volume is uncertain
The client needs ongoing help
The VA performs many small tasks
For example:
10 hours/week × $20/hour = $200/week
A long-term client can create predictable income.
However, hourly work limits revenue to available working time unless the VA raises rates or delegates work.
Clearly defined tasks can be sold at a fixed price.
Examples include:
Build a lead list
Clean a spreadsheet
Format documents
Upload 100 products
Research 50 companies
Organize a CRM
Schedule a month of content
Fixed pricing can reward efficient VAs because completing the task faster does not automatically reduce revenue.
The scope must be clearly defined.
A client can reserve a certain amount of support every month.
For example:
20 hours/month
40 hours/month
80 hours/month
The agreement may cover:
Inbox management
Scheduling
Weekly reports
Research
CRM updates
Virtual assistance has a low startup cost.
Requirement | Example | Starting cost |
|---|---|---|
Computer | Existing laptop or desktop | Already owned |
Internet | Existing connection | Already owned |
Gmail | Free | |
Calendar | Google Calendar | Free |
Documents | Google Docs / Sheets | Free |
Video calls | Google Meet or Zoom | Free options available |
Task management | Notion, Trello, or similar | Free options available |
Portfolio | Simple document or website | Free possible |
If a computer and internet connection are already available, a beginner can start without purchasing specialized software.
A VA does not need Google Workspace to begin, but some independent professionals prefer a custom business email.
Current annual-plan U.S. pricing includes:
Plan | Price per user/month |
|---|---|
Business Starter | $7 |
Business Standard | $14 |
Business Plus | $22 |
Business Starter currently includes:
Custom business email
30 GB pooled storage per user
Gmail
Drive
Calendar
Docs
Sheets
Meet
The flexible month-to-month plans cost more than annual commitments.
A freelancer can also use free personal Google tools when a custom business domain is not necessary.
Do not begin by offering:
"I can do anything."
Choose a manageable set of tasks.
For example:
Email management
Calendar management
Research
Data entry
CRM updates
A clear service makes it easier for clients to understand why they should hire you.
Possible clients include:
Consultants
Coaches
Creators
Agencies
Real-estate professionals
E-commerce businesses
SaaS founders
Executives
Specializing in one type of client can reduce the amount of new software and workflow training required.
For example:
Founder Administrative Support
Includes:
Inbox organization
Calendar management
Meeting scheduling
Research
Weekly task report
This is easier to sell than an undefined VA service.
Agree on:
Communication channel
Working hours
A practical virtual-assistant stack may include:
Email: Gmail or Outlook
Calendar: Google Calendar or Outlook Calendar
Documents: Google Docs, Sheets, Microsoft Office
File storage: Google Drive, Dropbox, OneDrive
Communication: Slack, Microsoft Teams, Zoom
Task management: Notion, Asana, Trello, ClickUp
CRM: HubSpot, Salesforce, or client-specific platform
Scheduling: Calendly or built-in calendar tools
Password management: Business password manager where available
Automation: Zapier, Make, or platform-native automation
The exact tools matter less than being able to learn the client's existing systems quickly.
Useful skills include:
Written communication
Organization
Research
Time management
Spreadsheet basics
Calendar management
Email management
Attention to detail
Customer service
File organization
Higher-paying roles may require:
CRM expertise
Project management
Bookkeeping support
Marketing tools
E-commerce platforms
Executive assistance
Automation
Reliability is especially important.
A technically simple task can still be valuable if the client trusts the assistant to complete it correctly and on time.
Do not rely only on the title "Virtual Assistant."
Make the offer specific.
Examples:
"I manage inboxes and calendars for busy founders."
"I provide Shopify customer-support assistance."
"I handle admin and CRM updates for real-estate teams."
"I support agencies with research, data entry, and client administration."
"I turn podcasts into organized publishing workflows."
Potential client-acquisition channels include:
Upwork
Fiverr
Direct outreach
Referrals
Freelance communities
A simple portfolio can include:
Example task dashboard
Spreadsheet sample
Research example
SOP
Inbox-management process
Weekly report template
Client information should never be included without permission.
Client needs:
Recurring administrative help.
Assistant provides:
Inbox organization
Calendar updates
Meeting scheduling
Online research
Spreadsheet updates
Weekly progress report
Optional upgrades:
CRM management
Customer support
Travel planning
Lead research
Project management
Marketing assistance
Starting with a narrow package makes workload and pricing easier to control.
Potential costs include:
Cost | When it applies |
|---|---|
Computer | If existing equipment is insufficient |
Internet | Required for remote work |
Business email | Optional professional branding |
Productivity software | If not supplied by client |
Scheduling software | Advanced booking needs |
Task management | Paid team features |
Freelance marketplace fees | Platform client acquisition |
Training | Specialized software or industry skills |
Many clients provide access to their existing software, which keeps the assistant's direct operating costs low.
A client may gradually add responsibilities.
For example:
Inbox management → Customer support → Social media → Bookkeeping → Project management
Define the service scope and review it when responsibilities change.
Some clients expect a VA to be available throughout their business hours.
Others only care about deadlines.
Clarify this before accepting the job.
Virtual assistants may access:
Customer data
Financial documents
Calendars
Internal business information
Treat client information as confidential.
Use secure accounts and follow the client's security procedures.
Avoid storing client passwords in plain text or chat history.
Use delegated accounts or approved password-management tools when possible.
Remote work can fail when tasks are vague.
Confirm:
Deadline
Output
Format
Priority
before completing high-impact work.
Basic VA work faces significant global price competition.
Upwork currently shows a median rate around $10–$20/hour, and marketplaces contain thousands of inexpensive administrative services.
Specialization can reduce direct price competition.
A solo VA has a limited number of billable hours.
Long-term growth may require:

CRM systems
Company policies
Marketing VAs may support:
Email campaigns
Social media scheduling
Content publishing
Basic analytics
CRM
Lead lists
Campaign research
A marketing VA should not automatically be treated as a full marketing strategist.
Execution and strategy can be separate services.
An e-commerce VA may handle:
Product uploads
Customer support
Inventory updates
Order monitoring
Supplier communication
Returns
Product research
Platforms may include Shopify, Amazon, Etsy, and other marketplaces.
Possible work includes:
Lead research
CRM updates
Appointment scheduling
Property research
Follow-up
Listing administration
Specialization can make a VA more valuable because less training is required for each new client.
Fiverr example |
|---|
Fact checking | $38 |
File conversion | $46 |
Research assistant | $55 |
Messaging and emailing | $62 |
General assistance | $72 |
Administration | $84 |
Call center / calling | $91 |
Fiverr pricing often represents packaged marketplace services rather than a direct comparison with long-term hourly employment.
Customer support
Retainers create more predictable revenue than constantly searching for one-time tasks.
Specialization can increase rates.
Possible niches include:
Executive assistance
Shopify operations
Amazon support
Real estate
CRM management
Podcast operations
Customer support
Email marketing
Project management
A specialist may compete less on price because the client is paying for existing knowledge, not only labor time.
An experienced virtual assistant can eventually manage several other assistants.
The agency handles:
Client acquisition
Task assignment
Quality control
Communication
Billing
Assistants perform the day-to-day work.
This can increase capacity but also creates management responsibility.
Clients frequently provide access to their own paid tools.
Response time
Time zone
Urgent-request process
Remote work becomes difficult when the client expects immediate availability but the assistant assumes asynchronous work.
A VA may require access to:
Calendar
CRM
Project-management software
Customer-support platform
Cloud storage
Only request the permissions needed for the job.
Use delegated access or proper team accounts when platforms support them.
Avoid sharing passwords through insecure channels.
Create standard operating procedures for repeated work.
For example:
New customer-support email
Read message.
Find customer record.
Identify issue.
Use approved response template.
Escalate refund requests above the allowed amount.
Update ticket status.
Documentation improves consistency and makes delegation easier later.
Use a task-management system.
Each task should ideally include:
Owner
Deadline
Priority
Status
Required information
Do not rely entirely on memory or scattered chat messages.
Record working time accurately.
Common categories may include:
Research
Meetings
Data entry
Customer support
Time tracking helps the client understand where hours are being used.
A short weekly report can include:
Completed work
Ongoing work
Problems
Decisions needed
Next priorities
This makes remote work visible without requiring constant meetings.
Once a task becomes predictable:
Create templates
Create checklists
Use keyboard shortcuts
Use automation
Batch similar tasks
Efficiency allows a VA to handle more responsibility and eventually justify higher rates.
Higher rates
Specialized work
Fixed-price services
Retainers
Automation
Delegation
Agency model
Specialization is not required at the beginning, but it can make client acquisition and higher pricing easier.
Examples include:
Real estate
Shopify
Executive support
Customer support
CRM administration
AI can automate tasks such as:
Drafting
Summarization
Scheduling support
Data classification
Research assistance
However, many VA roles involve judgment, communication, exception handling, trust, and coordination across people and systems.
Virtual assistants can also use AI and automation to work faster.
Yes.
A VA can hire other assistants and manage client relationships, task distribution, quality control, and billing.
This allows the business to handle more work than one person's available hours.
